How to Customize or Create a Signature

Learn how to set up and personalize your email signatures in DeskDay, including adding variables, logos, and HTML templates for a professional touch.

Steps:

  1. Access the Signatures Section
    Open the Control Center, then navigate to Signatures under the Account Preferences section.

  2. Add Signature Content
    Use the description box to write your signature content. For most signatures, this involves adding variables like {company.name} or {user.name} to include common company-wide data. Use the “+” button to the right to quickly insert these variables.

  3. Upload Your Logo
    If you want to include a company or MSP logo, upload the image as per your signature requirements.

  4. Position the Logo
    Adjust the position of the logo relative to your text using the Position options.

  5. Adjust the Signature Size
    Use the Size settings to fine-tune the overall signature appearance.

  6. Use HTML for Advanced Templates (Optional)
    If you prefer to use an HTML template, click on the Template option and paste your custom HTML code.

  7. Choose Signature Type
    DeskDay supports two types of signatures: Company Signatures and Individual Signatures. You can select the preferred type from the Email Templates section.

Tips:

  • Use variables to automate personalization, such as {user.name}, {user.title}, or {company.phone}.

  • Test the final output to ensure consistent formatting across devices.
