Overview
Multi-factor authentication (MFA) adds an additional layer of security by requiring team members to enter a verification code during login.
From DeskDay, administrators can:
Enable MFA for the organization.
Guide team members through MFA setup.
Reset MFA for an individual team member.
Disable MFA when required.
Before you begin
Make sure:
You have permission to manage organization security settings.
Team members have access to an authenticator application on a mobile device.
Team members can sign in to their DeskDay accounts.
Enable MFA
Enabling MFA applies the requirement to team members in the organization.
Open Control Center from the navigation menu.
Go to Team & access > Security.
Locate Multi-factor authentication.
Turn on the MFA toggle.
In the confirmation window, click Enable MFA.
MFA is now enabled. Team members will be prompted to configure authentication during their next login.
Complete MFA setup
After MFA is enabled, each team member must complete the setup during their next login.
Sign in to DeskDay using the account email address and password.
Open an authenticator application on a mobile device.
Scan the QR code displayed by DeskDay.
Click Next.
Enter the verification code generated by the authenticator application.
Complete the setup.
After setup is complete, the team member must enter a current verification code when prompted during future logins.
Each QR code is unique to the team member and should not be shared.
Reset MFA for a team member
Reset MFA when a team member:
Changes or loses their mobile device.
Removes the account from their authenticator application.
Cannot generate a valid verification code.
Needs to configure MFA again.
To reset MFA:
Open Control Center.
Go to Team & access > Team members.
Select the required team member.
Open the team member details.
Click Reset MFA.
Confirm the reset when prompted.
The team member’s existing MFA configuration is removed. During their next login, they will be prompted to scan a new QR code and complete the setup again.
Resetting MFA for one team member does not affect other team members.
Disable MFA
Disabling MFA removes the additional authentication requirement for the organization.
Open Control Center.
Go to Team & access > Security.
Locate Multi-factor authentication.
Turn off the MFA toggle.
In the confirmation window, click Disable MFA.
After MFA is disabled, new team members will no longer be prompted for setup authentication code during login.
Disabling MFA reduces account security and should only be done when necessary.
Important notes
MFA is managed at the organization level.
Each team member must configure MFA using their own authenticator application.
A team member’s QR code should not be shared.
Resetting MFA requires the team member to complete setup again during their next login.
Disabling MFA removes the MFA requirement only for newly added team members.
Existing team members who have already configured MFA will still be required to complete MFA when signing in to their DeskDay account.
Team members may remain signed in until their current session expires.
Troubleshooting
The MFA option is unavailable
Confirm that the signed-in team member has permission to manage organization security settings.
A verification code is not accepted
The code is being entered before it expires.
The correct DeskDay account is selected in the authenticator application.
The mobile device date and time are set automatically.
The team member scanned the most recent QR code.
A team member lost their device
Reset MFA from the team member’s details. They can then configure MFA on a new device during their next login.
A team member is not prompted to configure MFA
MFA is enabled under Team & access > Security.
The team member has signed out and started a new login session.
The team member has not already completed MFA setup.
A team member cannot access their authenticator application
Reset MFA for the team member and ask them to configure a new authenticator application during their next login.
