Manage billing roles in DeskDay

Billing roles define how technician time is categorized and billed in DeskDay.

A billing role can be assigned an hourly rate when configuring hourly contract. Technicians then select the appropriate billing role when adding time entries to tickets, allowing DeskDay to calculate billable time using the configured rate.

For example, different hourly rates can be maintained for roles such as:

  • Technician

  • Senior Technician

  • NOC Engineer

  • Engineer

Open billing roles

  1. Open Control Center.

  2. Go to Team & Access > Roles & Permissions.

  3. Select Billing roles.

The Billing roles page displays all available billing roles. Use the search field to find a specific role.

Add a billing role

  1. Click + Billing role.

  2. A new row is added to the list.

  3. Enter the billing role name.

  4. Save the role.

The new billing role becomes available for use across applicable contracts and time-entry settings.

Use billing roles for hourly billing

Billing roles can be used to define different hourly rates.

When configuring hourly billing:

  1. Select the required billing role.

  2. Enter the hourly rate for that role.

  3. Save the billing configuration.

This allows different types of technician work to be billed at different hourly rates.

Use billing roles on time entries

When technicians add time entries to a ticket, they can select the billing role that represents the work performed.

The selected billing role is stored with the time entry and can be used to determine the applicable hourly billing rate.

This helps ensure that ticket time is billed based on the type of work performed rather than using a single rate for all technician time.

Remove a billing role

Billing roles that are no longer required can be removed.

Removing a billing role prevents it from being selected for new time entries.

Existing time entries that already use the billing role keep the same recorded billing role information.

Important notes

  • Billing roles are used for billing purposes and do not control DeskDay permissions.

  • Hourly rates can be configured against billing roles where hourly billing is used.

  • Technicians select the applicable billing role when recording time.

  • The billing role selected on a time entry helps determine how that time is billed.

  • Existing time entries are not changed when a billing role is removed.
