Importing articles into the knowledge base

You can upload existing documents to automatically create knowledge base articles. This helps you move external documentation into DeskDay without rewriting content manually.

Supported file formats

You can import the following file types:

  • .DOCX

  • .PDF

  • .MD

  • .TXT

You can upload up to 5 files per upload.


How to import documents

  1. Open the knowledge base.

  2. Navigate to the folder where you want the articles to be created.

  3. Click the import option.

  4. Select up to 5 supported files.

  5. Confirm the upload.

The imported files will be processed automatically.


What happens after upload

  • Each uploaded file becomes a new knowledge base article.

  • Imported articles are saved as drafts.

  • Articles are added to the current folder where the import was initiated.

  • Processing usually takes 2 to 5 minutes, depending on file size.

You can open and edit the draft once processing is complete.


How PDF imports work

When importing a PDF:

  • Text is extracted and converted into article content.

  • Formatting may not fully match the original file.

  • Images and layout structure may vary.

Reviewing imported drafts

After import:

  1. Open the draft article.

  2. Review the title and content.

  3. Adjust formatting if needed.

  4. Click publish when ready.

It is recommended to review all imported content before publishing.


Best practices for importing

  • Import documents into the correct folder.

  • Review formatting before publishing.

  • Split very large documents into smaller files when possible.

  • Use markdown files for cleaner formatting results.
