Deleting an article permanently removes it from the knowledge base. This action should be taken only when the article is no longer needed.
When to delete an article
Delete an article if:
The content is outdated and no longer relevant
The article was created by mistake
The information is duplicated elsewhere
Open the knowledge base.
Navigate to the folder containing the article.
Locate the article you want to delete.
Click the three-dot menu next to the article.
Select delete.
Confirm the deletion when prompted.
The article is removed immediately.
Deleting multiple articles at once
You can delete more than one article at the same time.
Open the folder containing the articles.
Use the multi-select checkboxes to select multiple articles.
An action bar will appear.
Click delete.
Confirm the deletion.
All selected articles will be removed together.
What gets deleted
When an article is deleted:
All drafts are removed
All published versions are removed
The article cannot be recovered
This action is permanent.
When to un-publish an article
Un-publish an article if:
The content is temporarily not needed
Information needs review or updates
You want to remove it from live use without losing history
Unpublished articles are hidden from tickets and suggestions but remain available for editing.
Important things to remember
Deleted articles cannot be restored.
Deleting an article does not affect folders.
Links to deleted articles will no longer work.
Multi-delete affects all selected articles at once.
Un-publishing an article
Un-publishing is done from inside the article.
Open the article you want to unpublish.
Look at the right-side panel.
Open the general tab.
Click unpublish.
Confirm the action when prompted.
The article is removed from live use and saved as a draft.
What happens when you unpublish vs delete
Unpublish
Article is no longer live
Draft and version history are retained
Article can be edited and published again later
Delete
All drafts are removed
All published versions are removed
Article cannot be recovered
Best practices
Use un-publish when content may be needed later.
Double-check selected articles before deleting.
Avoid bulk deletion unless you are certain.
Use version restore if the content may still be useful.
Keep the knowledge base clean but intentional.
