How to edit an article

Editing articles is simple and collaborative. This guide explains how to make changes, format content, and work safely without losing progress.

Opening an article for editing

  1. Open the knowledge base.

  2. Navigate to the folder containing the article.

  3. Click on the article to open it.

If you have edit access, the article opens directly in edit mode.


Auto-save and live edits

  • All changes are auto-saved as you type.

  • You can leave and return to the article without losing work.

This makes editing safe, even during long sessions. Changes are applied instantly and saved in the background.


Collaborative editing

Multiple users can edit the same article at the same time.

  • Changes appear in real time.

  • Everyone sees updates as they happen.

  • There is no need to lock the article.


Publishing updates

  • While editing, the article remains in draft state.

  • When ready, publish the article to make updates available.

  • Each publish creates a new version.

Published versions can be restored later if needed.

Understanding document states and banners

The editor shows clear banners to help you understand whether you are viewing or editing a draft or a published version.


Viewing an unpublished version of a published document

Banner shown:
You are viewing an unpublished version.

Action available:

  • Switch to published version

This appears when:

  • A published article exists

  • You are currently viewing a draft or unpublished version

Click switch to published version to view the live article.


Viewing a published version when a draft exists

Banner shown:
A draft version exists for this document.

Action available:

  • Switch to draft version

This appears when:

  • The article is published

  • Someone has made changes saved as a draft

Click switch to draft version to continue editing the draft.


Editing a published document

Banner shown:
You are editing a published document.

This means:

  • You are making changes to a live article

  • Your edits are saved as a draft until published again

Actions available:

  • Discard draft – removes all changes and reverts to the last published version

  • View published version – opens the current published version in a new tab

The published version remains unchanged until you publish again.


Discarding changes

If you want to undo all draft changes: Click discard draft.

This will:

  • Remove all unpublished edits

  • Restore the article to the last published version

This action cannot be undone.


What happens when you edit

  • All edits are auto-saved.

  • Draft changes do not affect the live article.

  • The published version stays stable until a new publish action.


Best practices for editing

  • Always check the banner before editing.

  • Use view published version to compare live content with your draft.

  • Use discard draft carefully, as it removes all unpublished changes.

  • Publish only when content is reviewed and ready.

This action cannot be undone.
