How to Customize a Mail Template Notification

Learn how to modify the default email templates in DeskDay to match your communication style, including adding dynamic variables to subject lines and body content.
Steps:

  1. Go to the Control Center:
    From your DeskDay dashboard, open the Control Center.

  2. Open the Templates Section:
    Under Account Preferences, locate the Templates card and click to open it.

  3. Open the Email Tab:
    In the Templates section, switch to the Email tab to view available templates.

  4. Choose a Template to Customize:
    Choose the email template you want to customize.

    Click on the template to open the editor.

  5. Edit Subject and Body with Variables:
    Use the “+” icon to insert dynamic variables into the Subject or Body fields.

    Write your message around these variables to personalize the email.

  6. STEP 6: Override Global Header and Footer

    • If you wish to exclude the global header and footer for a specific email template, enable the Override Global Settings option.

  7. Save Your Custom Template:
    Once you’re done editing, your customized template will be saved and ready for use.

Tips:

  • Use variables like {customer name} or {username} for personalized content.

  • Test the email output before going live to ensure formatting is preserved.

  • To thread emails, use a fixed summary without variables across templates.
