Manage user categories/badges

User categories help MSPs and IT teams classify end users based on their importance or role within the customer organization.

Each category is represented by a crown badge, making it easier for technicians to identify tickets raised by prioritized users.

DeskDay includes four default user categories:

  • C-level

  • VIP

  • Manager

  • Standard

These default categories can be edited to match your organization's requirements.

Assign a category to a user

A category can be selected when adding a new user.

  1. Open the required customer.

  2. Start adding a user.

  3. Enter the user's Name and Email.

  4. Select the appropriate Site and Permission.

  5. Open the Category dropdown.

  6. Select the required user category.

  7. Click Add to list.

  8. Complete the user invitation.

The selected category is associated with the user.

Understand user categories

Each default user category uses a different crown color so technicians can identify the user type quickly.

  • C-level — Purple crown

  • VIP — Gold crown

  • Manager — Gray crown

  • Standard — Black outline white crown

The crown badge can appear alongside the user and on related tickets, helping technicians recognize prioritized users at a glance.

User categories and crown colors are visual identifiers only. They do not automatically change ticket priority, SLA, or user permissions.

Identify prioritized users on tickets

The crown badge associated with the user's category can be displayed with the user and their tickets.

This helps technicians quickly recognize tickets raised by users who may require prioritized handling.

User categories do not change ticket priority automatically unless additional routing or workflow rules are configured.

Edit user categories

The default category labels can be updated.

  1. Open the user category selector.

  2. Click the Edit icon next to the category list.

  3. Update the required category.

  4. Save the changes.

Updated categories become available when assigning categories to users.

Change a user's category

A user's category can be updated later from their user details.

  1. Open the customer.

  2. Select the required user.

  3. Edit the user's details.

  4. Change the Category.

  5. Save the changes.

The updated badge is then used when identifying that user across DeskDay.

Important notes

  • DeskDay includes C-level, VIP, Manager, and Standard as the default categories.

  • Default category names can be edited.

  • The crown badge helps technicians identify prioritized users and their tickets.

  • User categories are separate from user permissions.

  • Changing a category does not change what the user can access.

  • Ticket priority and user category are separate values.
